Visa applications
As part of the registration process, you will be asked to indicate whether you require a Visa Invitation Letter.
If applicable, upon confirmation that you require this document, you will be required to complete the relevant fields, such as:

issue date of your passport

expiry date of your passport

place of issue of your passport
To support you in obtaining your visa invitation letter, EACEA — via its contractor Spectra — will assist you throughout the process. The Spectra team will provide you with the following:

The official Visa Invitation Letter, signed by the European Commission and addressed to the relevant embassy or consulate

Accommodation confirmation Letter: an official accommodation confirmation issued by the hotel, confirming your stay for the duration of the event
Official Visa Information
Applicants are encouraged to rely solely on the official website of the Belgian authorities for all visa‑related information and refrain from using third‑party services (such as VisaHQ).
Medical Insurance Requirement
Please be advised that visa applications typically require valid medical insurance with coverage of at least EUR 30,000. Applicants are encouraged to verify that their insurance complies with this requirement.
